Corporate Services Support

Main purpose of job:

To ensure the effective delivery of post’s corporate services function including accountancy duties and accurate budget management. Overall responsibility for the estate and maintenance schedule. Staff management of the Embassy’s drivers and Residence staff.

Roles and responsibilities

Financial Management 60 %

Accurate management of the Embassy’s account. Identify and implement procedures to reduce cash transactions and to increase payments by PRISM and official credit cards.

Accurate and timely closure of the end of month account.

Lead post’s relationship with the financial hub in Pretoria.

Accurate financial spend forecasting identify early any under or over spends.  Taking necessary action and keeping the Senior Budget Holder and DHM updated.

Preparation of MTFP.

Ensure all financial returns are completed on time.

Responsibility for cash handling and management of cash box.

Estate Management 30%

To lead on ensuring the Embassy meets Health and Safety compliance requirement, working with colleagues to ensure delivery.

Keep the maintenance schedule updated, reviewing contracts and ensuring value for money.

First point of contact for all estates issues in the Embassy, Residence and DHM house.

Line management responsibility for drivers, Transport and Security Manager and Residence staff.

Support to DHM for ad hoc tasks as needed.

Human Resource Management 10%

Ensure accurate staff records, including leave and activity recording and support for recruitment campaigns.

Ensure staff salaries are paid on time each month.

Managing the staff medical scheme.

General

Provide back-up consular support during pro-consul’s absence.
