Main Purpose of the Job:

The successful candidate will assume the role of Personal Assistant in the Private Office, providing administrative support to the Permanent Representative, Deputy Permanent Representative, and Political Counsellor.

 

Whilst this is the primary purpose of the role, the successful candidate will also be part of a flexible team of four (the other three officers working in the Political, Development and Human Rights, Legal and Finance teams at UKMIS). The team provide cover for each other as necessary enable UKMIS to represent the UK more effectively at the UN.  In addition to providing administrative support, duties include (but are not limited to) facilitating inward visits, organising business meetings and travel for members of those teams.

 

Duties and Responsibilities:

 

  • Providing administrative support including:  information management, photocopying, shredding, compiling briefing, arranging official travel (flights, visas etc), arranging meetings (including issuing invitations, co-ordinating replies, booking refreshments etc); 30%

 

  • Maintain the schedule of senior UKMIS staff, answering telephone calls and providing secretarial support; 20%

 

  • Assisting with incoming visits, including by UK Ministers and senior officials, including by setting up programmes, organising logistics and arranging catering; 10%

 

  • Office management for UKMIS sections:  budget planning and monitoring, managing stationery and other office supplies; 10%

 

  • Providing support for UN Committee business, particularly during busy times of year; 10%

 

  • Providing administrative and organisational support in the run up to and during the UN General Assembly Ministerial Week in September; 10%

 

  • Covering for the other members of the UKMIS Administrative Team as necessary; including some flexible hours 10%. 

The ideal candidate must have a can-do attitude.  They will be an enthusiastic and flexible team player, able to deliver results quickly and accurately with great attention to detail, and be able to turn their hand to a variety of different tasks willingly and cheerfully.

 

Essential characteristics:

  • Bachelors degree or a minimum of two years work experience in a relevant field; 
  • Excellent written and oral communication skills;
  • Track record in team-working and organisational skills, including managing multiple tasks and strong attention to detail;
  • Proficiency in Microsoft Office.

 

Desirable characteristics are:

  • Experience of work in public service;
  • Knowledge of the work of the UN;
  • Familiarity with the UK Government. 

 

Under US State Department requirements, the Mission may only employ, as non-diplomatic staff, persons who are US citizens, US Green Card holders or G visa holders*. *A visas are acceptable at the Embassy and Consulates.  The UK Mission to the UN (UKMIS) accepts G visas, and British Defence Staff (BDS) outposts accept A or NATO visas.
