The British Embassy in Berne forms part of a world-wide network of embassies representing British political, economic and consular interests overseas. Our Corporate Services Team is responsible for delivering financial, HR, estates, and procurement services to its team of officers within the British Embassy in Bern.
The Corporate Services Officer will report directly to the Corporate Services Manager. The incumbent will be a vital member of the team, working with colleagues in Switzerland and London and with staff across the network. Their initial priority will be to assist in settling in new staff both locally engaged and from the UK. The CSO will therefore act as a point of contact for newly appointed staff supporting the CSM and Interserve FM. They will provide first line ‘customer’ service to new arrivals sign posting them to how they can complete their initial administration and to ensure necessary CS follow-up. The CSO will progressively take on other areas of CS admin support work as directed by, and agreed with the CSM.
Main Roles and Responsibilities:
Finance
Raising requisitions;
Setting up new suppliers;
Raising Purchase orders;
Receiving of goods and services;
Passing invoices for payment;
Supplying official and private MwST (VAT) exemption forms;
Processing purchases of capital assets.
Protocol
General administration related to (but not limited to):
Importation of Unaccompanied Air Freight;
Importation of personal effects;
Supporting UK based officers and their families;
Customs clearance of motor vehicles;
Registration under the reciprocal healthcare scheme; Healix and KVG.

Miscellaneous
General administrative support;
Deputising for the Corporate Services Manager.

Fluency in English. (German, French or Italian would be beneficial);
Comprehensive IT skills using payroll software, Microsoft Office, Internet.
This is a permanent, full-time contract of 40 hours per week.
The successful candidate will be subject to professional background and security clearance.
The successful candidate must have pre-existing work authorisation for Switzerland in order to apply.
