The British Consulate General Los Angeles invites applications from outstanding individuals for the position of Executive Assistant to the Consul-General.

This is a stimulating and varied role, involving lots of interaction with external contacts and teams across the British Consulate. This role will involve great organisation and planning skills, thinking creatively and excellent people skills. The role will involve providing executive assistance and diary support to the Consul General, handling invites and travel, meeting notes as well as working on events at the British Residence. You will see first-hand how senior leaders influence and make key decisions.

The successful applicant will report directly to the Consul General and work closely with all the teams representing different elements of the British Government's work in Los Angeles. The British Consulate General in Los Angeles represents the UK Government in Southern California, Arizona, Hawaii, Nevada, Utah, Guam, Northern Mariana Islands and American Samoa.

Roles and Responsibilities

The individual will be responsible for:

  • Providing executive assistance and diary support to the Consul General - including organising visits, meetings (both virtual and in person), handling correspondence and invites, travel and expenses. It will also involve providing some ad hoc support to the Deputy Consul General.
  • Working with different teams across the British Consulate to request and coordinate briefings. Taking and circulating notes of some priority meetings within the British Consulate.
  • Providing event support at the British Residence, including working with caterers and suppliers, arranging refreshments, setting and keeping to budgets, issuing invites and managing guest lists and acting as a venue coordinator and representing the British Residence during events. Responsibilities will vary depending on the particular events.

Resources Managed

Will prepare and submit expense claims for Consul General and be aware of budget implications.

Language Requirements

Language: English

Level of language required: Proficient

  • Expert in prioritisation, organisation, multi-tasking and time-management skills, and the ability to remain calm and professional under pressure.
  • 2-3 years relevant administrative experience in a fast-paced, multi-faceted team environment is essential.
  • Experience of organising innovative events – in person and virtually.
  • Great communication skills – orally and written.
  • Proficiency in using internet applications, social media and the Microsoft Office Suite.
  • Great interpersonal skills and a strong team player who enjoys working with others and is able to integrate fully into a wider network-based team.
  • Initiative, determination and responsibility.
  • Superior problem solving skills, common sense and able to exercise good judgement in the face of conflicting priorities.
  • Experience of managing others and delegation.
  • Understanding of the challenges and sensitivities of working in the world of government and politics.

Working Patterns

This role is 40 hours a week, but does not require set working hours each day.
