Main purpose of job:


We are seeking a dynamic and detail-oriented Consular Assistant to join our busy team providing consular assistance to British nationals in the Pacific Northwest of the United States. Based in San Francisco, the successful applicant will play a key role in front-line service delivery, with a focus on issuing emergency travel documents and tending to day-to-day administrative duties. The job holder reports to the Vice-Consul in San Francisco.



Roles and responsibilities / what will the jobholder be expected to achieve:


• Providing consular assistance in accordance with current guidelines, with an emphasis on issuing emergency travel documents and overseeing routine administrative tasks such as processing lost passport forms, processing arrests and responding to general correspondence.


• Deliver a high level of customer service, including handling enquires from members of the public and inmates while being confident delivering difficult messages/managing expectations.


• Maintaining case files on the corporate database and managing them to a satisfactory conclusion;


• Liaising with US authorities, members of the public and their legal representatives, airlines and tour operators, and British Government Departments in order to achieve strategic goals and keep contacts database up to date.


• Keeping the Vice-Consul informed of developments in cases;


• Maintaining close links with local authorities including, but not limited to, law enforcement, correctional facilities, medical examiners, hospitals, morgues and mental health facilities.


• Perform other duties as assiged


 

Qualifications and experience


• The successful candidate must have 1+ years of relevant work experience (to include working with the public, preferably in customer service and have experience managing expectations)


• Proficiency in the Microsoft Office suite is required.


• Excellent communication skills, both written and oral, including the ability to communicate at all levels.


• Ability to handle personal issues/information and deal with staff and clients in a friendly and sensitive manner


• Good problem solving skills, sound judgement, common sense and the ability to remain calm under pressure.


• Ability to prioritise, effectively manage, and execute multiple tasks.


• A good knowledge of multi-cultural Britain, its language, and geography.
