Corporate Services Support

The British Embassy in Vilnius is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking to recruit a Corporate Services Officer to provide support as a Deputy Corporate Services Manager.

The main purpose of this position is to assist the Corporate Services Manager with management of the budget and the estate to achieve the UK’s objectives in Lithuania while maximising value for money. The selected candidate will aim to deliver effective administrative support to manage British Embassy Vilnius’ financial and HR management processes; ensure efficient and accurate procurement and transaction processing in compliance with internal procedures, audit requirements and local regulations; and to drive forward best practice in the Embassy on HR administration, financial management and procurement processes.

Main Duties and Responsibilities

Finance

  • Manage the annual local budget in accordance with corporate policies to ensure on-budget expenditure and value for money;
  • Responsible for inputting budget profiles, forecasts and amendments;
  • Manage policies and processes relating to finance including payments to suppliers, Embassy’s Credit Card policy, fixed asset registers, monthly payroll, SODRA and tax returns and bank account management;
  • Issuing of invoices to staff or suppliers, submission of Debit memos and tax reclaims with State Revenue;
  • Prepare monthly, annual and ad hoc reports to senior managers on budget management, including forecasts and spend to date.

Human Resources

  • Work with the Corporate Service Manager in ensuring that HR Policy rules and regulations are implemented and adhered to, and providing guidance on staff issues and Local Employment Law;
  • Ensure accurate and efficient HR data keeping and management. Managing and updating Personnel files and job agreements;
  • Support UK based staff ensuring arrival procedures and induction processes are implemented and followed up.

Procurement

  • Managing Requisitioning/Receiving processes;
  • Creating Suppliers and Purchase Orders, monitoring monthly payment/invoice records;
  • Managing approved supplier list.

Other

  • General office administrative services.

  • Fluent in English and Lithuanian (both oral and written);
  • University degree in Finance, Business Administration, Management or other relevant subject;
  • A minimum of 2 years of previous experience in accounting or finance-related work;
  • The ability to write clear, concise reports, to make effective presentations to a variety of audiences and to communicate best practices in a positive way;
  • Strong IT skills (MS Office) and advanced level of Excel knowledge is required;
  • Strong organizational, analytical and time management skills, with very good attention to detail;
  • General understanding of Lithuanian legislation relating to corporate financial, procurement and HR matters;
  • Good knowledge of Payroll and local Labour Code;
  • Strong interpersonal and communication skills – written and oral, able to effectively communicate in English;
  • Multi tasking, self motivated and able to work as a part of a team and independently;
  • Ability to lead a team and work under pressure both unsupervised and as part of a team-equally comfortable working with senior management as well as with others.
  • Previous experience in HR administration related work is desirable.

This is a full-time permanent position with 35 hour net (40 hours gross) working week and a commitment to flexible working with a focus on providing a work-life balance, with the potential for some home-working.
