The Ministry of Defence Section in British Embassy Cairo is seeking a Personal Administrative Assistant grade B3 (L) for a Maternity Cover to start as soon as possible.

Main purpose of the job:

To ensure the smooth running of the Defence Section office, correspondence & diary appointments, in particular the Defence Attaché. Arranging social events & ceremonial commemorations. In addition, to supervise arrangements of VIP visits and general visitors.

Main Duties and Responsibilities:

  • Professional drafting of Defence Section correspondence letters to the Egyptian Armed Forces and ensuring they are translated and delivered in a timely manner.
  • Co-ordination of Defence Attaché’s diary and the Defence Section diary in general.
  • Ensuring contacts database is updated regularly in order to ensure we are inviting the relevant contacts to social events or gatherings.
  • Management of Defence Section Driver’s. Managing their time, ensuring paperwork is completed correctly and keeping them informed of any updated information.
  • Ensuring Adventure Training Groups are well informed of current procedures / travel advice in Egypt and the Defence Duty Officer / Honorary Consul are aware of their presence in Egypt.
  • Making necessary travel and accommodation arrangements for the Defence Section, official visitors and for other MOD personnel transiting or having other official business in Egypt.
  • Organisation and supervision of VIP visit programmes.
  • Coordinating social events for the Defence Attaché or Defence Section, ensuring invitations are sent out and maintaining a register for acceptance or regrets.
  • Organisation and administration of the El Alamein and Remembrance Day Services.
  • Coordinating requests from visitors to Egypt to visit war cemeteries with the Egyptian Armed Forces.
  • Ensuring Defence Registers are updated including filing, ordering of stationery and hospitality registers are updated.
  • Cover the running of overflights requests when Defence Transit Manager is away from the office.
  • Carry out Defence Duty Officer duties as required.
  • Reserve Log keeper for Embassy Crisis Team. Attending trainings for this role with the Information Manager / Team. Attend Crisis Committee meetings to ensure Defence Section are updated with necessary information.
  • Assist Embassy with Queen’s Birthday Party. Attend meetings where required. Usually required to look after the Military Band from the UK.
  • Take on extra duties wherever required.
  • Line management of Defence Section Drivers
  • Ensuring money / cheques are delivered to suppliers.
  • Management of money for driver’s airport entry tickets.

Remuneration:

The position is B3 (L) and the Gross Salary is USD 1,343.81 per month subject to insurance and tax as per the usual regulations based on a 36 hours per week. Flexibility will be considered but working from home will not be available. We offer a competitive package including medical benefits, performance related bonus, recreational facilities, opportunities for job related training & development, etc. This is for a full time employment, on a temporary basis to cover a maternity for 6 months.

The FCO have an online training portal with multiple training opportunities. The successful candidate will be required to take some mandatory trainings such as General Data Protection Regulation (GDPR). There will also be other learning and development opportunities within the Embassy or outside with the American Chamber.

No accommodation and relocation expenses are payable in connection with this position.
