The British Embassy Beirut has a vacancy for a Residence, Transport and Protocol Manager, job grade Executive Officer (EO) for a fixed term contract of 12 months.

The successful candidate will be responsible for the smooth running of the Residence, as well as managing the transport and protocol support services for the full Embassy. The role requires a strong team leader and a clear ability to prioritise and delegate tasks, whilst providing support and mentorship to a range of staff. The role will be delivery focused, and busy. You will need to engage regularly with the Ambassador and work very closely with the Head of Corporate Services.

This role will report to the Head of Corporate Services.

Roles and responsibilities:

Residence

  • Manage the residence team, providing support and mentorship to new staff.
  • Ensure a high quality service is provided to the Ambassador and guests to the Residence – including catering, housekeeping and general upkeep of the Residence estate.
  • Closely manage the residence estate in coordination with the Estates Manager.
  • Oversight of the residence budget and all associated costs/accounting.
  • Oversee management of records, inventories and stocks for the residence.
  • Manage the catering contract.

Transport

  • Oversee all transport services and ensure compliance with transport policy.
  • Oversee the overall transport schedule to ensure that the team can meet the demands of the Embassy for official moves.
  • Oversee fleet management in line with set policies and procedures. Including management of vehicle records, inventories and stocks.
  • Manage the transport budget and ensure value for money (including use of corporate credit cards).
  • Manage the fuel and fleet repair contracts.
  • Line manage the Transport Officer.

Protocol

  • Oversee all protocol issues and processes, including liaison with the Ministry of Foreign Affairs and other Lebanese authorities.
  • Line manage the Administrative Protocol Officer.

Resources managed (staff and expenditure)

  • A transport budget of £60,000.
  • A catering budget of £60,000.
  • Deputise for the Head of Corporate Services during leave.
  • Line manage a transport officer, protocol officer, and the residence team of four (cook, two cleaners and steward).

You will also lead on Crisis Hub update for the Logistics team. Provide support to table top and semi live crisis exercises. Coordinate with Head of Corporate Services for any changes or updates for the Logistics Manager role.

The above list is not exhaustive and the jobholder will be required to be flexible and take on other ad hoc tasks as required.

Eligibility:

If you are selected for this position, we will be able to employ you as long as you:

  • Receive the appropriate level of security clearance;
  • Have (or be willing to obtain) the right to live and work in Lebanon. Candidate's residence permit and work permit, and the expense to obtain them, will be their own responsibility.

Working hours and remuneration:

The Embassy aims to offer an attractive working environment and remuneration package for this role, including a non-negotiable salary of $2,963 per month. The salary will be paid gross and you are expected to comply with your tax obligations through completion of a tax return to the local authorities.  However, for third country nationals and UKB staff spouses/ partners employed by the Embassy, as you are not liable to pay Lebanese income tax, your salary will be abated by an amount equivalent to the Lebanese tax that would otherwise be payable (if appropriate).

There are no other allowances payable as part of this package. No accommodation and relocation expenses are payable in connection with this position.

This position is for a full-time employment, on a fixed-term contract basis for twelve (12) months with a possibility of renewal. The successful candidate will be subject to a 90-day probationary period. The appointment is also subject to satisfactory local and UK security clearances.

Conditioned working hours are 40 hours gross per week. Normal working hours are Monday to Thursday 08:00-16:00 and Friday 08:00-14:00. Some out of hours working may be required for events/major visits and in times of crisis. This would be compensated for by TOIL.

The Embassy is committed to ensuring that you are able to maintain a suitable work-life balance. Annual leave entitlement is 20 days plus 14 public holidays (on a pro rata basis).

Process:
