The UK Permanent Representation to the EU offers employees a challenging, varied and interesting opportunity to work for an organisation that is involved in the heart of negotiations around our future relationship with the EU. Our daily work relies on the input of dedicated individuals who engage on many different topics and activities. The negotiations will see an increased and large number of UK civil servants coming to Brussels to support a smooth departure of the UK from the EU. We are therefore recruiting for a Logistics Support Officer in the UK’s Representation to the EU (UKREP). The individual will be responsible for working alongside the UKREP’s Article 50 team and the negotiations coordination unit in London to support the smooth delivery of the logistics around the negotiations. They will work closely with UKREP visits and political teams, including providing cover for planned absences.

The role would suit a highly organised, self starter who is able to work to a high degree of accuracy under time pressure. Demonstration that they are a team player is essential as is flexibility. While the position is an administrative one, there may be opportunity to develop an understanding of UK and EU foreign policy working alongside the desk officers dealing directly with the range of EU issues.

Main responsibilities will include:

Working on the practical arrangements for UK officials visiting Brussels to take part in negotiations on the UK’s exit from the EU and its future relationship. 
This will involve:

  • Working closely with Private Office, Visits team, and Political Section to identify who needs to be in Brussels on which dates as the negotiations progress;

  • Keeping records of those who are in Brussels and running the phone tree to account for those staff should the Mission move into crisis mode; this would also include a communications role so that visiting teams are aware of one another’s activities and can be contacted by London colleagues where needed;

  • Working with UKREP staff and visiting officials to ensure they have hotels, travel, and somewhere to work, including access to the building, wifi, a desk and IT.  This could also include making arrangements for food and drink, advising on getting around the city, advising on emergency medical care should one of the team fall ill, and supporting any business hospitality within the team (booking restaurants etc.);

  • It will also involved providing assistance to those visiting where changes are needed during the visit due to unforeseen circumstances e.g. finding alternative travel routes should Eurostar break down

  • Working closely with the article 50 team and visits team to support the successful delivery of Ministerial visits and engagement on the UK’s departure from the EU.

  • Support UKREP’s wider Brexit, Political and visits teams as necessary, as part of the A50 team.

  • Be highly organised and able to act on own initiative;

  • Able to manage time well & juggle competing demands;

  • Demonstrate excellent interpersonal skills – including the ability to be firm with colleagues whilst retaining respect;

  • Build close and effective working relationships with a range of colleagues and external contacts;

  • Team working skills;

  • Ability to communicate clearly in English, both orally and in written work;

  • Have an open and flexible approach, with the ability to react calmly to problems at short notice;

  • Good IT skills (Microsoft Office, Outlook, Excel);

  • Discretion and good judgement;

  • Flexibility: on occasion the successful candidate may be asked to work outside conditioned hours, including at the weekend.

  • Experience of co-ordinating and managing projects;

  • Experience of dealing with senior people;

  • Experience of budget management;

  • Practical spoken French or Dutch.

This is a permanent full-time contract for 5 working days (36.25 hours net) per week.

The monthly gross salary for this position is € 3,024.50, A2 (L) level (The British Diplomatic Missions in Belgium salaries are not subject to annual indexation).

Please note that Belgian nationals will be paid their salary gross and are expected to comply with their tax obligations through completion of a tax return to the Belgian authorities. Non-Belgian nationals will receive their salary net, minus the deduction of an equivalent level of Belgian tax retained at source. Further information on this will be given to candidates during the recruitment process.

The successful candidates will be subject to professional background checks and security clearance.
