GTPC (Global Transaction Processing Centre)

The Head of Supplier Maintenance and Accounts Receivable leads the effective operational delivery of transactional Procurement and Accounts Receivable services which includes supplier maintenance, purchase order processing, receipts processing and bank reconciliations for Posts in Asia Pacific, SAAD, MENAD, EECAD and Africa ensuring compliance with FCO Policies, high standards of customer service and continuous process improvement.

Roles and responsibilities:

Operational Management

  • Manage the operational delivery of an effective, efficient, best in class, transactional procurement and accounts receivable services covering Supplier Maintenance, Purchase Order Processing, Receipts Processing and Bank Reconciliation.
  • Monitor efficiency, effectiveness and accuracy of the SM/PO and AR processing teams through use of the KPIs, Incident count and Productivity Metrics
  • Ensure that FCO policies are applied to processes, risks are identified and addressed. Provide operational input to the development of new policies relating to these areas.
  • Work with the Service Delivery team to ensure high customer service levels.
  • Provide support to Head of GTPC (Global Transaction Processing Centre) to ensure management of staff is fair across the whole GTPC.
  • Ensure Aging Items and Incidents are resourced appropriately and updated weekly.
  • Provide Business Continuity oversight for GTPC to ensure BCP is up to date and fit for purpose.

Continuous Improvement - Change Management

  • Own and drive projects that will result in a more efficient and accurate SM/PO and AR operations.
  • Identify, develop and deliver solutions to improve transactions processing for the benefit of both the GTPC and Posts.
  • Encourage innovation within the team to identify more efficient and customer friendly processes.

Stakeholder Management

  • Strengthen relationships with Posts ensuring regular communication and a quick response to any issues.
  • Work collaboratively with other GTPC Manila teams, GTPC MK, CPG, the Regional Hubs, Overseas Cash Management Team, Banking Team and other CSC units to maintain and/or improve service delivery, ensure consistency and address overarching issues.

Resources Managed

  • Oversight of SM/PO (9 staff) and AR Team (8 staff). Direct management of 2 x B3 officers and countersigning officer to 7 x A2 staff.
  • 5 years management experience of managing a large team
  • 5 years of operations experience
  • Understanding of Purchase to Pay
  • Finance Qualification
  • High level of IT skills with minimum MS Excel to level 2
  • Excellent communications skills, fluent in spoken and written English
  • Oracle experience
  • Six Sigma Green Belt
  • Familiarity with accounting processes at Post and in Prism
  • Previous Accounts Receivable experience
