Main purpose of job
To provide administrative support to the NI Bureau, including Corporate Governance, plus engagement with stakeholders.
What will the jobholder be expected to achieve?
Corporate Governance (35%)
- Support First Secretary on development and maintenance of Northern Ireland Bureau (NIB) Corporate and Business Plan (BP).
- Prepare regular reports and statements on performance against BP targets, risk register, gifts and hospitality, stewardship statements, declarations of interest, political engagement and Executive Office annual report.
- Provide support in the drafting of Business Cases and Post Project Evaluations.
- Support First Secretary on maintenance and review of NIB policies and communicating those messages to staff.
- Respond to queries from various departments within Northern Ireland.
General Administration (35%)
- Identifying approaches to improve the efficiency and effectiveness of Bureau activities, including improving connectivity with the British Embassy on relevant issues and deployment of technology.
- Act as Executive Assistant to First Secretary, managing diary, responding to queries and assisting with general office duties including filing, ordering office supplies and answering the phone.
- Manage and maintain all IT systems including computer network, landline telephones, cell phones and internet facilities in conjunction with service provides. Monitor system and network performance and address problems as they arise.
- Maintenance of NIB Assets Registers and liaison with Finance Division regarding addition, transfer and disposal of assets.
- Draft responses to other NI Civil Service exercises.
- Provide support to Communications Officer in organisation of the Bureau’s public events and maintaining records and contacts.
- Other administrative tasks as required.
Engagement (30%)
- Prepare initial draft briefing for Visits and for Events to North America or from North America to NI.
- Keep abreast of congressional affairs and other US politics.
- Provide flexible back-up to others in what is a small but active office.
Resources managed (staff and expenditure)
The role will support the Finance Manager’s responsibility for $1.3m budget.
Essential on arrival:
- Bachelor’s degree, ideally in a related field, such as political science, international relations or business.
- 1-3 years of work experience, ideally in a support or office management role.
- Ability to multitask and juggle various types of work or responsibilities.
- Detailed oriented with strong organisational and administrative skills.
- Customer service and interpersonal skills with the ability to work well with others on a wide range of issues.
- Clear and concise oral and written skills.
- Flexibility in a team setting, with an enthusiastic approach to work.
- Sound judgment and discretion in handling confidential information, as well as the ability to conduct oneself in a professional manner.
- Ability to work effectively as part of a team and on his/her own initiative.
Desirable:
- Previous experience of working for a government department of international mission.
- Experience of managing budgets.
