Main purpose of job:

To support the Embassy Events team to plan and coordinate the Queen’s Birthday Party 2020, with specific responsibility for the guest list.

Roles and responsibilities:

  • Coordinate the Embassy guest list for the QBP, including the coordination of sending out invitations and collating responses
  • Work closely with QBP planning committee and provide regular updates on guest list, planning and associated matters
  • Day to day coordination and provide general assistance as required to QBP committee
  • Liaison with wider BE staff on the guest list and offer advice and guidance when necessary, ensuring there is no duplication across departments
  • Liaise with the Communication and Marketing Manager, Security Officer, concerning event
  • Liaise with HMA Private Office concerning VIPs
  • Provide clerical support to the QBP Planning Committee, to include taking notes/minutes of meetings, arranging regular QBP Committee Meetings, distributing minutes/reports and ensuring that all administration tasks are completed to a high standard. 
  • Provide detailed briefing notes ahead of the QBP event to BE Staff and especially the volunteers.  
  • Provide support on the evening of QBP event, as requested by the QBP Planning Committee.
  • In partnership with the HMA Private Office and Corporate Services, maintain the records and correspondence concerning sponsorship of the QBP event
  • Liaise with Corporate Services concerning the budget.
  • Coordination of banners and displays with sponsors.
  • Computer literacy especially MS excel spreadsheet
  • Good attention to detail
  • Able to work to meet deadlines and work with own initiative
  • Good planning and organisation skills
  • Sense of discretion
  • Fluency in Thai language
  • Fluency in English language
  • Knowledge of financial / budget management principles or previous financial management experience.
  • Knowledge or experience of project management and relevant skills.
  • Master’s Degree in a relevant field.
  • Pre- existing connections to the Thai government – in particular the Ministry of Natural Resources and the Environment or the Ministry of Energy.

Full time role (36 hours/week, Monday to Friday). Flexible working available (Embassy core hours are 1000-1600 Mon-Thurs and 1000-1300 Friday).
