The British Embassy in Amman is seeking a highly motivated and enthusiastic individual for the position of Finance and HR Assistant, Grade – A1 (L).

Purpose of the job:

This position is part of the Corporate Services Team within the British Embassy Amman. It plays a key role in managing and delivering the Amman Post finance/HR portfolio, dealing with a range of corporate returns and working with the corporate services manager and finance manager in creating and maintaining high level financial/HR performance in Amman.

Main Responsibilities:

The Corporate Services Section is responsible for the overall management of the British Embassy Estate, Finances, Human Resources, Transportation, Communications (including Information Technology), Protocol and other administrative functions. It is a key section within the Embassy and staff are committed to providing the best possible support to the wider Embassy to ensure the effective delivery of priority objectives across all teams.

As a Finance & HR assistant, you will be responsible for: 

Finance:

  • Providing support to Manila Finance Hub in processing invoices.
  • Keep the accounts filing system up to date at all times and ensure good record keeping.
  • Scanning invoices and submitting them to the Manila processing centre.
  • Liaising with the bank on Embassy bank account matters.
  • Assist Finance and Corporate Services Managers.

Human Resource:

  • Issue confirmation of employment letters following successful completion of probation  
  • Educate new staff members and ensure that are fully aware of their contract terms and conditions.
  • Administer the local process for contract renewals, working with the HR Hub in Abu Dhabi
  • Handling the health insurance contract for local staff and their dependants.
  • Direct contact with Embassy’s HR hub in Abu Dhabi.
  • Prepare updates on staff departures, arrivals, and change of circumstances for pay purposes.
  • Prepare employment letters for Embassy staff upon request.
  • Administer the local staff annual appraisal validation process.
  • To keep and update all local staff records and ensure all personal and sensitive documents are kept safely.
  • Monitor sick absences and report to the Deputy Ambassador every six months.

Essential:

  • Fluent communication skills in English and Arabic language (both written and spoken, this will be tested).
  • Bachelor degree in Finance/ Management/ HR
  • At least 2 years of relevant experience.
  • Strong organisational and administrative experience.
  • IT literacy in Microsoft Office (Word, Excel, Outlook) and Oracle programmes.
  • Proven track record in a customer facing role.

Desirable:

  • Certification in finance, management or HR.

Working Hours and Remuneration:

The position is full-time, at 37 hours a week with considerations of flexibility depending on circumstances.

Pay is on the Embassy A1 (L) scale, with a salary of JOD 785 per month depending on the candidate’s skills and experience. The package includes a good level of health insurance and a friendly, English-speaking work environment. We offer opportunities to develop professional skills through our Learning & Development offer. Leave entitlement is 25 days (on pro rata basis) plus 14 public holidays.

This is a Full Time, Maternity Cover position for 5 months starting Mid-April 2020, with a possibility of short extension. (This role is to cover maternity leave. The FCO maternity leave policy is 18 weeks with an option to take up to a further 8 weeks of unpaid leave. The current offer is to cover the initial 18 weeks of maternity leave and 2 weeks annual leave, however if the current incumbent decides to take any further leave, this offer might be extended to cover the additional period.)

  • Have (or be willing to obtain) the right to live and work in Jordan. Candidate's residence permit and work permit, and the expense to obtain them, will be their own responsibility.
