The British Embassy in Amman is seeking a highly motivated and enthusiastic individual for the position of Clerical Assistant, Technical Works Group (TWG), job grade AA.

The successful candidate will work closely with the Office Manager and Technical Works Supervisor, learning from the Office Manager to enable them to deputise as needed.

 Roles and responsibilities:

  • Ensure proper time management and the timely completion of assigned tasks to an acceptable FCDO standard.
  • Offering support to the Technical Works Group (TWG) and Estates Staff.
  • Retrieve all documentation stored on the various TWG databases and start creating separate files.
  • Maintain a proper filing system for all documents and work on digitalising work requests and documents.
  • Ensure timely delivery of goods and services with the suppliers and contractors, escalating as needed as advised by TWG Office Manager/Estates Manager.
  • Maintain attendance records, time sheets, overtime and annual leave of all TWG staff as agreed with TWS Office Manager.
  • Assist with Property Compliance Assessment (PCA) process and data recording on Pyramid/Planon.
  • Create property files on Microsoft Teams to account for TWG spending per property.
  • File all works requests after the material and labour costs have been recorded.
  • Act as a focal point of contact for Contractors during projects, follow up on projects, conduct physical inspections, and accompany contractors during regular services visits.
  • Conduct weekly maintenance check for the Embassy and Club facilities and report to TWG Office/Estates manager.
  • Responsible for compiling and keeping an up to date inventory list for the TWG stores and workshops.
  • Responsible for the quality control checks on works performed by TWG contractors and service providers.

Customer Service:

  • Support the Office Manager in the efficient distribution of tasks, balancing urgent requests with on-going preventative maintenance and renovations
  • Contact customers in advance to ensure they are in the property and will allow access.
  • Accompany Accommodation Officer in march in/out of properties.
  • Manage on call emergency phone after working hours/ weekend when needed.

The above list is not exhaustive, and the jobholder will be required to be flexible and take on other ad hoc tasks as required.

Essential

  • Fluency in English and Arabic. Able to translate and express ideas and messages clearly and concisely, both orally and in written communication.
  • Hold a valid Jordanian driving license.
  • Must have a bachelor's degree in a relevant field.
  • Must have proven technical experience
  • Computer literate with strong IT computer skills in Microsoft Office packages (Excel, Word, Outlook, Microsoft Teams and PowerPoint).
  • Excellent customer service and organisational skills.
  • Experience of working in facility management.

Eligibility:

If you are selected for this position, we will be able to employ you as long as you:

  • Receive the appropriate level of standard security clearance.

Working Hours and Remuneration:

The Embassy aims to offer an attractive working environment and remuneration package for this role, including a non-negotiable gross salary of JOD 803 per month based on a 37 hours per week. Sunday - Wednesday 0800-1530hsr and Thursday 0800-1500 hrs.

Please note that your salary will be paid gross, and you are expected to comply with your tax obligations through completion of a tax return to the local authorities.  If exceptionally you are not liable to pay Jordanian tax, you will receive a net salary, which is minus the deduction of an equivalent level of local tax.  Further information on this will be given to candidates at interview if necessary.

This role is for a full-time employment, on a permanent contract. The successful candidate will be subject to a 90-days probationary period (as appropriate). The selected candidate must have a right to live and work in Jordan.
