Residence Coordinator

The British Embassy Riyadh has a vacancy for a Corporate Entertainment and Residence Manager for a fixed-term contract of two (2) years.

The jobholder will lead the Corporate Entertainment Team (CET) in supporting Her Majesty’s Ambassador (HMA), Deputy Head of Mission (DHM), and all Embassy sections to enable delivery of business hospitality. You will effectively manage the Residence and CET resources to support the country business plan, and ensuring that CET business hospitality activities are attractive, of high quality, and are cost effective. You will also work closely with the Corporate Services Team in delivering activities and monitoring and maintaining resources.


Duties and responsibilities:

- Event management

  • Accurate and active management of the CET and event calendar.
  • Provide professional support to both internal and external contacts of all levels to meet their expectation and help them achieve their objectives.
  • Manage CET event caterings and maintain a high quality of service and best value for money.
  • Organise and deliver over 200 official functions and entertain over 35,000 guests annually.
  • Accommodate and assist with Ministerial/ VIP visits.
  • Support and deliver income generating events to meet the Post’s income target. Review and update the event guidance/ policy as necessary and ensure user-friendly and efficient event procedure.
  • Identify and highlight network opportunities to One HMG in support of the Country Business Plan objectives.

- Staff management

  • Line management of five (5) staff members within the Residence Team.
  • Monitor and supervise the individual teams who are responsible for planning and delivering their own tasks by following the programme at the Residence.
  • Responsible for recruitment and support the team with learning and development opportunities.

- Financial management

  • Accurate business hospitality (BH) and representational requirement (RR) budgets management and oversight of audit process.
  • Effective monthly budget forecast and CET event record management.
  • Accurate monthly recharging and invoicing to the section budgets and to relevant organisations.
  • Manage procurement following Foreign and Commonwealth Officer (FCO) guidance
  • Approve requisitions made through our internal finance and procurement management tool. Account for and approve transactions made using a government procurement card (GPC) or corporate credit card (CCC).
  • Exceed income generation achievement.
  • Review and update the charging guidance to provide clarity regarding charges to Partners Across Government (PAGs).

- Facility management

  • Provide supervision and support to CET Housekeepers/ Stewards with cleaning and laundry tasks to keep high standard.
  • Liaison work with Head of Corporate Services (HCS)/ Technical Works Supervisor (TWS) to plan and deliver maintenance, renovation, and refurbishing work as necessary.

The above list is not exhaustive and the job holder will be required to be flexible and take on other ad hoc tasks as required, including participating in the Embassy emergency planning and any response to a crisis.

  • Minimum of two (2) years of events management experience.
  • Previous line management experience.
  • Excellent interpersonal skills and proven ability to engage and influence at all levels internally and with external contacts, and collaborate effectively across Embassy teams.
  • Excellent organisational ability, with proven ability to manage, plan, and prioritise tasks and workload.
  • Resourcefulness in solving problems and demonstrates good judgement.
  • Ability to multi-task and have good organisational skills. Ability to respond quickly and flexibly to meet multiple and changing priorities.
  • Excellent command of spoken and written English.
  • Strong IT computer skills and in using MS Office applications (Outlook, Word, Excel, PowerPoint).
  • Experience in using Oracle-based finance and procurement management system.
  • Budget control experience.
  • Arabic language skills.

Salary details:

  • Base Salary including Eid bonus - SAR 8,365.41
  • Housing Allowance - SAR 2,091.35 (subject to eligibility)*
  • Travel Allowance - SAR 400 (subject to eligibility)*

*Allowances are not payable to staff who receive official provision for such expenditure in some other form.


No accommodation and relocation expenses are payable in connection with this position.

Normal working hours for the Embassy are 08.00 to 15.00 Sunday to Thursday. This position is full-time, based on 35 hours per week.

The jobholder should also be flexible in their approach to hours worked as these will also be dictated by operational needs and will involve working out of hours (evening and weekend), especially during events and visits.

The successful candidate will be subject to a 90-day probationary period.

Eligibility:

The successful applicant will be required to obtain the necessary security clearance. Higher clearances can be granted only to certain nationalities. For this reason, candidates must be of British, American, Australian, Canadian, or New Zealand nationality in order to gain the level of clearance required.

The position is available to holders of Saudi residence permits or transferable Iqamas. Successful candidates will be required to transfer their sponsorship to the British Embassy.
