Main purpose of the job

 

  • To provide budget and administrative support for Embassy officers to deliver programmes and projects effectively.

 

Roles and Responsibilities

 

  • Support Embassy officers in ensuring successful delivery of programme and project, including: administrative support in the bidding and selection process;  checking budgets to ensure value for money; liaising with project implementers to ensure timely and accurate invoices, timely payments to implementers, project record management. (35%)

 

  • Embassy’s accounting system: requisitioning, receipting. (15 %)

 

  • Logistical arrangements to support the smooth running of programmes/project activities including Chevening scholarship programme, inward and outward visits and organisation of programme/project-funded events. (40%)
    • Supporting inward, in country and outward visits including arranging air tickets, hotel, travel insurance, per diem, in-country transport, interpretation / translation when needed. 
    • Supporting the organisation of project-funded events such as workshops, conferences and outreach activities; arranging banners, interpretation and translation of documents, booking venues or ensuring venues are set up as required.

 

  • Wider support to the Embassy’s Prosperity Section, including management of the section’s entertainment, travel and learning and development budgets. (10%) 
  • Strong budgetary and administrative skills
  • Ability to work with others
  • Good written and oral communication skills in both English and Vietnamese
  • Experience in project work
  • Relevant work experience, preferably in an international organisation
  • Familiarity with an on line accounting system (training will be given)
