Main Purpose of the Job
To support/advise UKBS with all their logistics and protocol needs. Point of Contact at post for Mauritania which will be covered from Dakar in terms of Corporate Services and assist them with all procurement and payment requests. Support the team as and when necessary.
Main Duties and Responsibilities
Logistics & Protocol 60%
- Taking responsibility for all Diplomatic Bag issues, including management of Queens Messenger visits.
- Managing visas/diplomatic ID card applications/renewals for all UK based staff
- Management of UK based vehicles’ admission permits.
- Overseeing Heavy Baggage and Unaccompanied Air Freight issues for all incoming UK based staff
- Managing Fuel cards for Embassy cars
- Focal point for coordinating VIP visits and events, including all relevant paperwork and logistics support
Mauritania Cover 10%
POC at Embassy for Mauritania for Corporate Services requests (procurement, payments…)
Prism (requisitioning) 10%
- Raising requisitions and receipting on Prism (a key internal Embassy IT system)
- Processing Prism requisitions into Purchase Orders;
- Ensuring that all elements of requisitions received contain correct information including good description of good required and any project/PAG codes are valid.
Team Support 20%
- Ad hoc Corporate Services Support to complete tasks, as and when necessary.
- Responding to ad hoc requests from the Corporate Services Manager, Deputy Head of Mission, and other senior staff.
- Helping other members of the Embassy team as and when required.
- Back up Transport Officer
- Excellent communication skills
- Creative thinking and problem solving abilities;
- “Can do” attitude
- Good understanding of the MFA (Ministry of Foreign Affairs) procedures.
All applicants must be legally able to work in Senegal with the correct visa/status or work permit.
The successful applicant will demonstrate that they meet the requirements under Senegal law to work in Senegal.
