Corporate Services Support

The Corporate Services Assistant will work closely with the Corporate Services Officer and CS-HR Intern in order to provide general support to the Embassy’s Corporate Services Team with a focus on Human Resources and Logistics. The successful candidate must be able to work as a part of a team and work on different activities at the same time providing logistical and administrative support primordially liaising with Washington HR Hub and Local Staff aiming to process recruitment, social security and database documents. Applicants must be experienced and knowledgeable in the fields of administration, logistics, HHRR, or related areas. They must have excellent oral and written skills in both English and Spanish. Knowledge in social security systems, health and safety in the workplace and inventory management is desirable.

Roles and responsibilities:

  • Provide support for administrative procedures regarding activities related to local and regional recruitment and on boarding, including induction documents and processes for new locally-employed staff, along with the CSO acting as a liaison point with the regional HR Hubs in Washington DC.

  • Provide assistance with the Social Security affiliations for the Embassy’s locally-employed staff and resolve issues associated with health entities (EPS), pension funds, labour risk administrator (ARL) and benefits representatives (CCF).

  • Organize events and meetings.

  • Update databases, e-files, SharePoint, spreadsheets and personnel records.

  • Administrative tasks, handling calls, preparing letters and employment certificates and other documents related to the work of the HR Team.

  • Liaising with Social Security entities to retrieve sick leave payments.

  • Organize all HR and Social Security Archives

  • Assist with the preparation and despatch of diplomatic mail.

  • To support with other ad-hoc General Corporate Services tasks (e.g. project work or visitors at Post).


Languages: Spanish and English

Level of language required: Spanish (Native knowledge) / English (Good working Knowledge).  All candidates must be able to conduct business in both English (B2-C1 level – CEF) and Spanish (C1 level CEF)
