Political

Main purpose of job:

To provide administrative support to the Political team on projects.

Roles and responsibilities:

  • Monitoring and reporting on project activities (includes some internal travel)
  • Updating project budget and making requisitions to accounts
  • Receive and answer initial enquires on projects both by email and phone
  • Manage the physical project files (filing, copying and recording emails)
  • Prepare documents for meetings (sending meeting requests by email, drafting document lists)
  • Chasing by phone and email – project reports, financial accountability and any other requested information
  • Sending invitations for political team, and chasing responses
  • Making meeting booking
  • Making transport bookings
  • Making visitor notification requests
  • Liaising with the accounts department regarding payments
  • Calendaring important project notifications
  • Any other administrative support (scanning, printing, telephone calls and emails as requested)

 In order to achieve well kept project records, and informed stakeholders, by

  • Ensuring that the each project calendar is up to date
  • Ensuring that all project files are up to date
  • Ensuring that the project implementers are informed of all they are required to do and follow the order of activities as agreed.
  • Ensuring that the line manger and other members of the Political team are aware of any issues on projects or any calendared activities.
  • Ensuring that project team are not falling behind on deadlines

Leave:

  1. 25 days paid annual leave per calendar year.  The leave entitlements will be granted for each calendar year of service. Leave will be calculated proportionately for any period of service of less than one calendar year.
  2. In addition to annual leave entitlements, certain Ugandan and British public and religious holidays are observed by the British High Commission.
  3. Family or compassionate leave will be granted on the following occasions:

  • Paternity leave – 5 days
  • Death of spouse/partner, child, legally adopted child, parent, parent in law – 6 days on any one occasion

Hours of Work:

The current authorised weekly hours of duty for all staff, excluding lunch breaks is 34.5 hours per week.
They are currently as follows:
Monday to Thursday 0830 to 1700
Lunch break 1300 to 1400
Friday 0830 to 1300
Lunch break None


    • This is a 5-months temporary maternity cover position
