Main purpose of job

Support and provision of information to the wider British Defence Staff - United States (BDSUS) diaspora footprint within the USA including management of the Exchange Officer (EO) administration processes.   

What will the jobholder be expected to achieve?

  • Acting as the point of contact for the BDSUS Royal Air Force (RAF) and Royal Navy (RN) Exchange Officer diaspora and responding to queries by signposting to the relevant BDSUS desk officer, USA Support Group or staff based in the UK.
  • Administration of the MPEP arrivals process, briefs and security clearances.
  • Timely staffing of EO candidate packs as directed and through personnel staff in USAF, USN, USMC, Army and USCG International Programme Offices and assist other EO staff with advice on the processes.
  • Maintenance of a master EO excel database. 
  • Coordinating with EOs to ensure timely completion of Mid and End of Tour reports for staffing by the appropriate staff officer and dispatch of reports to the appropriate command.
  • Staffing of all EO Third Country Deployments (TCDs) and associated visa applications.
  • Assist BDSUS desk officers and BDSUS Communications team with communications to the EO diaspora.

Essential on arrival:

  • High degree of knowledge of Microsoft Office applications (e.g. outlook, word, excel).    
  • Previous history of working in general administration duties. 
  • Strong independent judgement, excellent organisational skills, the ability to multi-task and strong problem-solving skills.
  • Excellent customer service skills, with proven ability to take responsibility and exercise considerable discretion.
  • Fluent in English (written and spoken).

Desirable:   

  • Understanding of UK defence and UK government.
