The British Consulate-General (BCG) in Munich is part of a world-wide network, representing British political, economic and consular interests overseas and we are currently seeking to appoint a Corporate Services Officer and Security Manager.

As part of our Corporate Services team the successful candidate will report to the Head of Corporate Services in Berlin and provide a professional service to the British Consulate-General in Munich by managing all aspects of Corporate Services work on a daily basis. The role incorporates Finance, Procurement, Health & Safety, Security, Estates, Logistics and providing back up support to the IT Support Officer.

What will be your key responsibilities?

  • Overall daily management of all aspects of corporate services work at the British Consulate-General. Working closely with the Consul-General and other sections, you will manage a small professional Corporate Services team within the wider team in the Germany network;
  • Ensure the BCG's security needs are achieved in line with FCO requirements – protecting its assets and people-, including co-ordination with external Security Company and other stakeholders including the police;
  • Local Budget Management in line with FCO guidelines;
  • Lead on FCO Oracle based system on local budget procurement and housekeeping at Post;
  • Provide logistic support, including working with Transport Manager to make sure that the Consulate car is well maintained and managed in line with FCO guidelines;
  • Ensure that the Consulate and Residence buildings comply with all aspects of Health & Safety working closely with the Facilities Management company, regional team and Estates Directorate in the UK;
  • Oversee the daily work of the Facilities Management Company – daily management of external security company and other local contracts working together with the Head of Contracts in Berlin;
  • Act as Deputy IT Support Officer (to provide back up when the IT Support Officer is on annual leave or out of the office);
  • Line manage one member of Corporate Services staff. Co-ordination with Facility Management staff member in Munich;
  • Support and assist with any events and visits as necessary;
  • Take part in Crisis planning and exercises within the Consulate and larger network;
  • Participate in corporate projects focussed on supporting and developing the collective spirit of the BCG and wider Germany network;
  • Any other duties that may reasonably be required and which are in accordance with the grading and core competencies of the job.

Resources Managed (Staff and Expenditure):

  • The successful candidate will line manage one part-time member of Corporate Services staff, including performance management and supporting development.
  • Overall daily management of the local budget (approx. Euro 65K), forecasting, working closely with the Consul General in Munich and the Finance & Budget Manager in Berlin.
  • Proficient in English and German (both written and spoken, minimum of C1 level according to the CEFR framework*);
  • A minimum of 3 years of relevant experience in an administrative/Corporate Services role;
  • A minimum of 3 years of budget management and forecasting experience;
  • Customer focussed and excellent customer service and communication skills;
  • Excellent organisational skills;
  • Ability to deliver high quality work within deadlines and under pressure;
  • Ability to work independently but also with colleagues and contacts in the immediate and wider teams as appropriate;
  • Excellent IT skills, especially standard Microsoft Office applications (Word, Excel and Outlook);
  • Ability to keep confidentiality at all times;
  • Flexibility to travel domestically, mainly around Germany but it can also be required to travel to the UK or other Post if necessary.
  • Experience of working in an international environment;
  • Recent experience in a relevant security related position;
  • Experience of working with Oracle databases;
  • Line management experience;
  • Health & Safety and Fire Safety knowledge or relevant experience.

Our Conditions of Employment:

This is a fixed-term position for a contract period of two years, with the possibility of renewal by mutual agreement.

The gross yearly salary for a full-time position is €59,304 rising to a maximum of approx. €66,616 gross per annum after a qualifying period in addition to performance related pay (salary is not negotiable).

Working hours per week are 37,5 net. We offer a flexible working policy but the successful candidate may sometimes need to work the occasional evening/weekend when there are visits/events or open up the Consulate in the morning or close in the evening.

The successful candidate will be subject to professional background check and security clearance. The successful candidate must have pre-existing work authorisation in Germany in order to apply.

Staff recruited locally by the British Consulate-General in Munich are subject to Terms and Conditions of Service according to local German employment law.

Visa/Passport requirements: Candidates must currently hold the independent right to live and work in Germany and be prepared to ensure that right remains throughout the scope of the contract. Additional requirements may become necessary after 31st December 2020.

The British Consulate-General in Munich has a strong ethos of Learning and Development and there will be many opportunities to attend internal and external seminars and events on relevant issues. This is in addition to the induction programme offered to all BCG staff. Further training provided for IT and Security elements of the position.
