Main purpose of job:

This is an interesting and rewarding role and requires basic level of administrative skills, self-starting attitude, and ability to work independently under minimum supervision and guidance. The incumbent will assist programme teams with administrative and logistical support to help deliver the team’s objectives.

The incumbent will be proactive on interacting with internal stakeholders (colleagues within the mission) at different grades as well as external stakeholders during the execution of their tasks (setting appointments, organising events, inviting external stakeholders and communicating with them).

They will also lead on wider corporate contributions to ensure that BHC Dhaka is a great place to work and will role model the values and behaviours, as per the BHC Dhaka Culture, Diversity and Wellbeing Charter.

Roles and responsibilities / what will the jobholder be expected to achieve?:

We all have a responsibility to embrace the changes of the FCDO as it transforms, building the culture we want to see and delivering our cultural statement in how we lead and behave towards others; how we make decisions and how we get the job done is everyone’s responsibility.

In this role you will also be responsible for: 

  • Arranging internal and external meetings including refreshment, guest arrival and departure, informing security etc.
  • Arrange official International Travel: Booking flights and accommodation, transport requirements, visa letters etc.
  • Arrange official Domestic Travel: Arranging transport for meetings/visits within Dhaka.
  • Field visits: Supporting the team to organise the field visits, liaising with transport, security, accommodation and prepare first draft of the Note Verbale and Travel Planning Form.
  • Events: Organise events for the team, arranging venue, refreshments, getting approvals, managing invitations, informing security etc
  • Stakeholder management: Keeping up to date lists of contacts for the team, able to maintain various lists e.g. Kings Birthday Party (KBP), key contacts etc. Contacting
  • Stocking the team stationary cupboard
  • Internal information and knowledge management, uploading materials, maintaining spread sheets, calendars, and keeping minutes of meetings.
  • Diary management and general support for G6 Deputy Development Director and G6 Political Counsellor.
  • Manage the FCDO Bangladesh Enquiry point for development queries
  • Provide surge support and respond to other priority needs for the team
  • Processing payments, budget management, monitoring expenditure and assisting in accurate financial forecasting exercises while supporting the respective programme managers/officers especially for the team L&D, travel and hospitality budget.
  • Record keeping; maintaining asset inventories and checks

Resources managed (staff and expenditure):

The Programme/Project Support Officer may be given Programme Management responsibilities on one component of the programmes managed within the team.

Language requirements:

Language:  English and Bengali

Essential on arrival:   

We are looking for a energetic, positive minded and competent individual who has:

  • Minimum of an undergraduate degree in any discipline
  • Minimum 2 years experience preferably in programme admin roles.
  • Excellent written and spoken English;
  • Excellent organisational and interpersonal skills with the ability to develop effective working relationships;
  • An ability to work proactively and independently as well as part of a team; and,
  • Strong IT skills.
  • Experience working in an international organisation or diplomatic mission.

Desirable qualifications, skills and experience:

  • Knowledge of programme management cycle
  • Financial management experience;
  • Experience of working in the development sector

The minimum salary for the grade is all inclusive of BDT 94,711 per month.
