Main purpose of job:

Providing transportation service for all FCO and DFID staff.

Roles and responsibilities:

  • Line manager of (9) pool drivers:Taking full responsibility for performance management and leading on tasking and resourcing for transport team (e.g. : uniform, training, vehicle daily checks, leave planning, appraisals etc).    (30%).
  • Booking schedule & Pool: Coordinate transport bookings, produce daily schedules for the drivers allocating tasks, and receiving emails of transport bookings and sending confirmations.
  • Checking pool vehicles on regular basis to ensure that the vehicles are kept clean and that reports of any damage are made by the driver concerned.
  • Monitoring the insurance policies and ensuring that the policies are renewed every year on time.                                           (30%).
  • Fuel: Issuing of fuel to official, private vehicles and residential generators as and when necessary. 
  • Maintain accurate fuel records and pass details to Transport Manager by end of each month.
  • Informing the transport manager of the timing of ordering the supply of new fuel.
  • Making sure all vehicles are topped up by the last day of the moth and kilometre reading is recorded for each vehicle.
  • Taking monthly dipping of fuel tanks by the end of each month and after delivery of supply of fuel in the presence of the transport manager and one independent witness.
  • Making sure all vehicles including motor bikes have new journey sheets by the first day of the month and that records of fuel consumption and journey records are accurate.
  • Receiving fuel for Embassy including hire of tanker, oversee maintenance of three tanks and two fuel pumps. (30%)
  • Imprest Holder Responsible for Imprest amount of 2,500 SDG. (5%)
  • Taking on the duties of transport manager in his absence.           (3%)
  • Back up driver if required                                                          (2%)
  • IT skills ( excel , word, and outlook )
  • Driving licence and motorbike licence.
  • Ability to work under pressure.
  • Experience in managing fuel.
